  • Set-up and tear-down crew
  • Fair Trade/Ethical Vendors (to provide outfits and accessories as well as sell items)

  • Speaker/Panelists
  • Mood & runway music
  • Food & drinks
5 Months Prior
  • Set Date and Time
  • Reserve Space
  • Create Volunteer and Vendor forms (examples: volunteer and vendor)
  • Vendor participation invitation
  • Speaker invitation
  • Create marketing materials
3 Months Prior
  • Send volunteer form for recruitment of models, make-up, hair, crew, etc.
  • Solidify vendors and speakers/panelists
  • Begin marketing event
  • Reserve event equipment
  • Confirm volunteer training/rehearsal date(s)
2 Months Prior
  • Solidify volunteers and assign tasks
  • Pair models with vendor’s outfits
  • Draft Panel Questions
  • Solidify event layout
1 Month Prior
  • Start creating the program
  • Order food
  • Organize training/teaching
  • Send panel questions
  • Email Vendors final confirmation, include direction, liability forms, etc.
1 Week Prior
  • Rehearsal
